This Refund Policy explains how subscription fees, trials, and cancellations work for Frix Law. It forms part of the Terms of Service. Enterprise deals governed by an MSA or Order Form control if they conflict with this Policy.
1. Plans and billing
- Fees, included usage (such as seats, minutes, and storage), and billing interval (monthly or annual) are shown at checkout, in-app, or on your Order Form.
- Unless stated otherwise, subscriptions auto-renew at the then-current rate until cancelled.
- Taxes may be added where required. Currency is USD unless your Order Form says otherwise.
- Payment is charged to the payment method on file via our payment processor. Failed payments may result in suspension after notice.
2. Free trials and pilots
- If you receive a free trial or pilot, you will not be charged until the trial ends, unless you convert early.
- At trial end, paid service begins only if you add a payment method or accept a paid plan as presented in the product or Order Form.
- Trial access may be limited in features or usage. Trial periods are non-transferable and may be revoked for abuse.
3. Cancellation
- You may cancel renewal at any time from account billing settings or by emailing support@frixlaw.com from an authorized admin email.
- Cancellation takes effect at the end of the current paid term. You retain access until then.
- We do not prorate unused time on standard monthly plans unless required by law or expressly stated on your plan.
- Annual plans are addressed in Section 5.
4. Standard refunds (monthly subscriptions)
For self-serve monthly subscriptions:
- Cooling-off (new customers): If you cancel within fourteen (14) days of your first paid charge and have not made more than de minimis use of billable telephony or AI minutes beyond onboarding tests, contact support for a full refund of that first charge. We may require confirmation that you will not continue using the Service.
- After 14 days or on renewals: Fees are non-refundable, except where required by law or as a courtesy goodwill credit at Frix’s sole discretion.
- Chargebacks initiated without contacting us first may result in immediate suspension pending investigation.
5. Annual subscriptions
- Annual prepaid fees are generally non-refundable after fourteen (14) days from the initial annual charge.
- Within those 14 days, you may request a refund minus: (a) any non-recoverable third-party costs (for example, purchased phone numbers already provisioned that cannot be returned); and (b) usage fees for voice or SMS above any included allotment, billed at list rates.
- Downgrades apply at the next renewal unless your Order Form allows mid-term changes.
6. Enterprise and Order Form customers
Refunds, termination for convenience, and credits are solely as stated in your MSA or Order Form. Service credits for downtime, if any, are the exclusive remedy for availability issues under an SLA—not a cash refund of the full subscription unless the Order Form says so.
7. What is never refundable
Unless required by law:
- Third-party pass-through costs already incurred (certain number purchases, carrier fees, overage minutes or SMS already used);
- Professional services, custom implementation, or one-time setup fees marked non-refundable;
- Accounts terminated for material breach, fraud, or Acceptable Use violations;
- Partial months after mid-cycle cancellation (access continues to term end).
8. How to request a refund
Email support@frixlaw.com with:
- Firm name and admin email;
- Invoice or charge date and amount;
- Reason for the request.
We aim to respond within five (5) business days. Approved refunds are returned to the original payment method within five to fifteen (5–15) business days depending on the processor and your bank.
9. Price changes
We may change prices for renewal terms with at least thirty (30) days’ notice (email or in-app). Continued use after the renewal date constitutes acceptance. Price changes do not retroactively alter a prepaid term already paid.
10. Errors and duplicate charges
If you believe you were charged in error, contact us within sixty (60) days of the charge. Verified duplicates or billing errors will be refunded or credited promptly.
11. Consumer laws
If mandatory consumer protection laws in your jurisdiction grant stronger cancellation or refund rights, those rights apply to the extent they cannot be waived.
